How do I create benefit rules?
Instruction: How do I configure benefit rules?
You can find an overview of all benefit rules by navigating to Budget & Rules > Benefit Rules. From here, you can create new rules, filter existing ones, or edit previously created rules. Any values you configure, such as the maximum offset amount, are automatically displayed to employees when they order a product.
- Go to Budget & Rules > Benefit Rules.
- Click Create Benefit Rule.
- Enter a clear name (for example, Maximum bicycle budget). This name is only visible internally.
- New rules are active by default. Use the toggle if you want to deactivate the rule.
- Enable the Show on registration page toggle if you want employees to see this rule while registering through the registration page. This ensures they are informed about the rule before completing their registration.
- Select the products and organisational units (if applicable) to which this rule applies. You can select individual items or choose All if the rule should apply to all products or organisational units.
- Under Type, choose the type of rule you want to configure:
- Frequency: Limit the number of orders that can be placed within a specific period.
- Per product: The limit is checked separately for each product.
Example: Maximum of 2 orders of Product A and 2 orders of Product B. - Per group: The limit is checked across all selected products combined.
Example: Maximum of 2 products in total from the selected product group.
- Per product: The limit is checked separately for each product.
- Values: Use value rules to set minimum and maximum order amounts. Choose the limits that match your organisation's policy.
- Total value of a product group: The maximum total amount an employee may spend (gross + net).
- Maximum net value: The maximum amount the employee pays themselves (employee contribution).
- Maximum offset amount: The maximum gross amount that may be offset.
- For the Deductable amount, you can specify whether the limit applies Per order or Per current budget campaign.
- Per order: The configured amount can be used for each individual order.
- Per current budget campaign: The configured amount can be used until the current budget campaign ends.Example: If the limit is €3,000 and the budget campaign runs from 1 January 2026 until 31 December 2026, the employee can use up to €3,000 during that campaign.
- Text: Use this option to write out a benefit rule in plain text. This is useful for general terms and conditions or additional policy information.
- Frequency: Limit the number of orders that can be placed within a specific period.
- Click Create to save the rule, or Create & Create New if you want to add another rule immediately.
Tip: Use the filters and column options in the overview to quickly manage your benefit rules and keep your policy organised as your organisation grows.
