How do I configure the settings of an approval team?
The settings of an approval team determine, among other things, which orders the team reviews, when the team is notified, and what happens when multiple teams need to approve the same order.
Before you start
- This article explains what the different approval team settings mean and how to adjust them.
- Do you want an order to be approved by multiple teams and still need to create an additional team? First, follow the instructions for setting up an additional approval step.
- Do you only want to determine who can review orders? In that case, you do not need to change the team settings. Simply add or remove members from the approval team.
Where can I find the settings?
- Go to Companies & People > Approval Teams.
- Select the approval team you want to modify.
- Adjust the desired settings.
- Click Save Changes.
The sections below explain the available settings.
-
Name and Description
Use the Name field to give the approval team a recognizable name.
You can also add a Description. This information is only visible internally.
-
Keep approvals when other team(s) reject
This setting determines what happens to your team's approval when another approval team rejects the same order.
Do you only have one approval team? Then this setting does not apply to your organization.
By default, this setting is turned off.
-
- Enabled: If your team has already approved the order and another team later rejects it, your team's approval remains valid. Your team does not need to approve the order again if it is resubmitted.
- Disabled: If another team rejects the order, your team must review and approve the order again after it is resubmitted.
-
Only notify when the team below has approved
This setting allows you to define the order in which approval teams review an order.
Do you only have one approval team? Then this setting does not apply to your organization.
If you want your team to receive an order only after another team has approved it, select that team here.
For example, you can configure Team 2 to be notified only after Team 1 has approved the order.
-
Send approval emails to
This setting determines where notifications for orders awaiting approval are sent.
You can choose to send notifications to:

- The individual members of the approval team.
- A shared email address.
Would you like to use a shared email address? The email address must first be created under People > Email Address Book.

-
- If the team is responsible for all business units, leave the toggle enabled.
