How do I use the payroll report?
FiscFree provides a standard payroll report that gives you insight into delivered orders that need to be processed in your payroll administration.
You can use the report as a control overview for payroll processing. If you want to import the data directly into your payroll software, you can also customize the report to meet the requirements of your payroll system.
Before you start: configure payroll components
To display the correct payroll components in the payroll report, they must first be configured for the relevant settlement sources.
The payroll component number from your payroll system can be entered in FiscFree as the External Payroll Identifier. This allows FiscFree to include the correct payroll component in the payroll report.
How do I enter payroll component numbers?
- Log in as an administrator.
- Go to Budgets & Rules > Settlement Sources.
- Click Edit for the settlement source you want to configure.
- Enter the payroll component number in External Payroll System Identifier.
If you use different payroll components for products such as bikes, fitness subscriptions, or different business units, make sure the correct payroll component number is configured for each settlement source.
How do I activate the payroll report?
- Go to Reports in FiscFree.
- Open the standard Payroll Report.
- Activate the report.
- Review the information displayed in the report.
- If desired, configure the report to be sent automatically by email.
When you open a report, you can immediately view the data that would be included in the export file. You do not need to export the file first to review its contents.
What information is included in the payroll report?
The standard payroll report contains information about delivered orders that are relevant for payroll processing, including:
- Employee information
- Product information
- Settlement details
- Payroll components (if configured)
- Amounts
- Start and end dates
- Period information for recurring deductions
The information you require ultimately depends on the setup of your payroll administration and the payroll software you use.
Which orders are included?
The payroll report includes delivered orders from the previous month. This ensures that payroll processing is based on a complete and closed reporting period.
Only settlements with a configured payroll component number are included. This payroll component number is stored as the External Payroll Identifier in the settlement source.
As a result, the report contains the relevant delivered orders from the previous month that need to be processed through payroll.
When should I process the report?
We recommend agreeing on a fixed time each month or payroll period to process FiscFree settlements.
Because the payroll report is based on delivered orders from the entire previous month, you work with a completed reporting period. This prevents the need to process individual orders throughout the month and reduces the risk of missing orders.
Can I export the payroll report to Excel? To export a report:
- Find the report you want to export and click View.
- Click Export.
Once the report has been configured, you can export it at any time. The report will be downloaded for use in payroll processing, administration, or other purposes.
How do I set up automatic delivery?
If you want the payroll report to be sent automatically at fixed intervals, create a report schedule.
- Locate the standard payroll report and click View.
- Go to Schedules.
- Click Create Custom Report Schedule.
- Complete the required schedule settings.
- Open Recurrence and specify how often and when the report should be sent.
- Open Email Settings and enter the email addresses that should receive the report.
- Review all settings and save the schedule.
The payroll report will then be generated and delivered automatically according to the configured schedule.
Note: Also review the settings under Recurrence and Email Settings. These determine when the report is sent and who receives it.
Automatic email delivery
You can have the payroll report delivered automatically by email so that payroll administrators do not have to retrieve it manually each month.
Specify:
- The day on which the report should be sent.
- The recipients who should receive it.
Multiple recipients can be configured. For example, you can send the report to both your internal payroll team and an external payroll provider.
It is recommended to choose a delivery date that aligns with your payroll processing schedule.
Can I customize the payroll report?
Yes. Since every organization manages payroll differently, the report can be customized to suit your payroll process.
You can:
- Add or remove columns
- Change column names
- Reorder columns
- Apply filters
- Adjust date formats
- Adjust amount formats
If you want to create a report that can be imported directly into your payroll software, contact your FiscFree Client Success representative.
Can reports also be used for management information?
Yes. Reports can also be used to gain insights into employee benefit usage, such as:
- The number of bike orders
- Usage of fitness schemes
- Revenue per product group
- Insights by benefit category, such as vitality, productivity, or wellbeing
You can create separate reports for these purposes, allowing the payroll report to remain focused on payroll processing.
Good to know
You do not need to replace the standard payroll report when a specific import file is required.
You can use multiple reports alongside each other. For example:
- Use the standard payroll report as a control overview.
- Create a separate report tailored specifically to the import requirements of your payroll software.
