What do the different budget statuses mean?

In FiscFree, you may encounter different budget statuses: Remaining, Reserved, and Consumed. These statuses show how much budget is still available and which part has already been reserved or actually used.

  • Remaining
    • Remaining is the budget that is still available to employees. This amount can be used by employees for new orders, depending on the configured conditions and rules.
  • Reserved
    • Reserved is budget that an employee has already selected for an order, but which has not yet been definitively used. As soon as the order is available for approval, the corresponding amount is reserved. This prevents the same budget from being used for another order in the meantime.
      • The amount remains reserved until it is clear what happens to the order. Once the order is approved, the amount changes from Reserved to Consumed.
      • If the order is cancelled, the amount moves from Reserved back to Remaining.
  • Consumed
    • Consumed is budget that has been definitively used for an order.
      • When an order is approved, the used budget is automatically registered as Consumed. This budget has now been permanently used and is no longer available for a new order.

How do the statuses change during an order?

During the ordering process, the budget status changes along with the order.

For example, an employee has €500 of available budget and uses €200 for an order. As soon as the order is available for approval, €200 is shown as Reserved, and €300 remains under Remaining. After the order is approved, the €200 moves to Consumed.

This allows you to see at any time which part of the budget is still available, which part is tied to an ongoing order, and which part has been definitively used
