Which automatic emails can administrators receive?

FiscFree can automatically notify administrators by email about various events in the platform. For example, you can receive an email when an order reaches a specific status, when an order requires approval, or when a new user registers.

You can decide which emails you want to receive. For each notification, you can also specify which email address should receive it.

Important: To actually receive an email notification, two things must be configured:

  1. The recipient email address must first be added under Companies & People > Email Address Book.
  2. You must then select a recipient in the Send an email to field. If no email address is selected, the notification will not be sent.

Emails about order status changes

Under Orders, you can configure notifications for specific order status updates.

Examples include:

Status: Delivered

Receive an email when an order reaches the Delivered status.

Status: Returned

Receive an email when an order is marked as Returned. This typically means the order was approved but later had to be cancelled by the employee.

Status: Expired

Receive an email when an order reaches the Expired status. This occurs when an employee takes no action on an order for an extended period.

These notifications allow you to stay informed about the order events that matter most to your organization.

Emails about order-related actions

In addition to status changes, you can receive notifications when a specific action occurs or is required.

Examples include:

Automatic renewal of a fitness order
Receive an email related to the automatic renewal of a fitness order.

Order approval required
Receive an email when an order is awaiting approval.

This helps ensure that the appropriate people within your organization are informed when action is needed.

Emails about users

Under Users, you can configure notifications related to user activity and registrations.

New user registration
Receive an email whenever a new user registration takes place.

What settings can I configure for each email?

Each automatic email includes several configurable options.

Disable email

You can choose whether a specific automatic email should be sent.

Pay close attention to the setting name. Options such as Disable order emails or Disable registration emails will stop those emails from being sent when enabled.

Preview
Click Preview to see how the email will look before enabling it.

Send an email to
Select the email address that should receive the notification.

Important: Enabling a notification is not enough. You must also select at least one recipient under Send an email to.

If the required email address is not available, add it first via Companies & People > Email Address Book.

Attach contract addendum PDF
Some notifications allow you to include the contract addendum as a PDF attachment.

Can I use different recipients for different emails?

Yes. For each automatic email, you can specify a different recipient email address.

For example, notifications about new user registrations can be sent to one mailbox, while notifications about delivered orders can be sent to another.

All recipient email addresses must first be added to the Email Address Book.

How do I configure these automatic emails?

To enable one or more of these notifications:

  1. Go to Settings > Automatic Emails.
  2. Configure the desired notifications.
  3. Select the appropriate recipient email address for each notification.
  4. Save your changes.
